  • Hotel operational data entered into the CRM
  • Support conversations, implementation notes, and service feedback
  • Technical information such as device, browser, IP address, login time, and usage logs
2

How we use information

We use collected information to respond to enquiries, schedule demos, prepare pricing proposals, configure customer accounts, deliver the CRM service, provide training, resolve support issues, and maintain secure access to the platform.

We may also use information to improve product performance, understand feature usage, develop new modules, communicate service updates, send renewal or billing reminders, detect misuse, prevent unauthorized access, and comply with applicable legal or accounting obligations.

3

Hotel operational data and customer ownership

Hotel operational data entered by a customer into Hotel Connect remains the customer's business data. Hotel Connect does not claim ownership of customer booking data, guest data, room data, inventory records, invoices, or internal staff records.

We process this data only as needed to provide the subscribed CRM service, maintain backups, troubleshoot issues, improve reliability, protect the system, and support authorized customer requests.

4

Guest and staff information

Hotels may use the CRM to manage guest and staff information. The customer is responsible for collecting guest and staff information lawfully, providing required notices, obtaining consent where required, and deciding what information should be entered into the CRM.

Hotel Connect provides tools to manage this information, but the hotel remains responsible for the accuracy, legality, and day-to-day use of the data entered by its team.

5

Cookies, analytics, and website tracking

Our website may use cookies or similar technologies to keep the website functional, remember basic preferences, measure page performance, understand demo interest, and improve the visitor experience.

Analytics information is generally used in aggregated form to understand which pages are useful, where visitors face friction, and how we can improve the website and product communication. Browser settings can usually be used to control or block cookies.

6

Sharing and service providers

We do not sell customer data. We may share limited information with trusted service providers only when needed to operate the business and deliver the service.

These service providers may include hosting providers, database services, email or SMS providers, payment coordination partners, analytics tools, customer support tools, security services, and professional advisers where necessary.

  • We share only the information needed for the relevant service.
  • We expect providers to use information only for authorized service purposes.
  • We may disclose information if required by law, regulation, court order, or valid government request.
7

Security measures

We use reasonable technical and organizational safeguards to protect information against unauthorized access, misuse, disclosure, alteration, and loss. These safeguards may include role-based access, authentication controls, secure hosting practices, backup processes, activity logging, and restricted internal access.

No online service can guarantee absolute security. Customers must also protect their own accounts by using strong passwords, limiting staff permissions, removing access for former employees, and reporting suspected unauthorized access promptly.

8

Data retention

We retain information for as long as needed to provide the CRM service, support active customers, maintain business and tax records, resolve disputes, enforce agreements, improve security, and comply with legal obligations.

After a subscription ends, customer data may be retained for a reasonable period for backup, audit, support, or legal purposes unless deletion is requested and deletion is legally and technically possible.

9

Data correction, export, and deletion requests

Customers may contact us to request correction, export, or deletion of relevant business information. Requests may require verification to protect customer accounts and prevent unauthorized changes.

Some data may not be deleted immediately where it is required for legal compliance, security records, backup integrity, billing history, dispute resolution, or legitimate business purposes.

10

International processing

Hotel Connect may use infrastructure, support tools, or service providers located in different regions. By using the website or CRM service, customers understand that information may be processed wherever our systems or trusted providers operate, subject to reasonable safeguards.

11

Children's privacy

Hotel Connect is a business software service intended for hotels and hospitality teams. It is not designed for direct use by children, and we do not knowingly collect information from children through the public website.
