Terms and Conditions

These terms define how hotels and hospitality businesses may use Hotel Connect's website, demo process, implementation service, and CRM software platform.

Acceptance of terms

These Terms and Conditions apply to the Hotel Connect website, demo requests, onboarding, implementation work, subscriptions, customer support, and CRM software services provided to hotels and hospitality businesses.

By requesting a demo, creating an account, signing a proposal, paying for a plan, or using the CRM service, the customer agrees to these terms and any written commercial terms confirmed between the customer and Hotel Connect.

Service scope

Hotel Connect provides hotel CRM software for front desk operations, reservations, room management, housekeeping, guest records, staff access, inventory, billing, payments, reports, and related operational workflows.

The exact features available to a customer depend on the selected plan, enabled modules, implementation scope, subscription status, technical requirements, and any custom development agreed in writing.

  • Core CRM modules may include bookings, rooms, guests, staff, inventory, billing, and reports.
  • Advanced modules, integrations, custom workflows, and multi-branch controls may require a higher plan or separate approval.
  • Demo content, screenshots, and website descriptions are for product explanation and may change as the platform improves.

Account setup and authorized users

The customer is responsible for choosing admin users, assigning roles, managing staff permissions, maintaining login credentials, and controlling who can access the CRM.

Any action performed through an authorized account may be treated as an action of the customer unless the customer promptly reports suspected misuse or unauthorized access.

Customer responsibilities

The customer must provide accurate hotel details, branch information, billing information, staff information, inventory data, room details, tax settings, and other setup information required for implementation.

The customer is responsible for ensuring that guest, staff, vendor, and business data entered into the CRM is collected and used lawfully, accurately maintained, and accessed only by authorized people.

  • Keep account credentials secure and update staff access when employees leave.
  • Review invoices, tax settings, room rates, reports, and operational entries for accuracy.
  • Use the CRM only for lawful hotel and hospitality business purposes.
  • Maintain any required offline, legal, or accounting records where applicable.

Subscription, pricing, and billing

Pricing may depend on room count, branch count, selected modules, user count, support level, onboarding needs, custom workflows, integrations, and implementation complexity.

Final pricing, payment schedule, taxes, renewal terms, cancellation terms, and included support are confirmed through proposal, invoice, subscription confirmation, or another written commercial agreement.

Failure to make payment on time may result in restricted access, suspension of support, delayed implementation, or termination of the service after reasonable notice.

Implementation, onboarding, and training

Hotel Connect may assist with account configuration, workflow mapping, room setup, staff setup, inventory categories, billing settings, report preferences, and basic training.

Custom migration, data cleaning, third-party integrations, custom reports, branch-specific workflows, advanced automation, and additional training may require separate scope, timeline, and pricing.

Implementation timelines depend on customer cooperation, data readiness, technical access, payment status, and the complexity of requested workflows.

Acceptable use

Customers and users must not misuse the website or CRM service. The platform must not be used for illegal activity, unauthorized access, fraud, harassment, harmful content, or activity that disrupts the service for other users.

  • Do not attempt to bypass security, test vulnerabilities without permission, or interfere with infrastructure.
  • Do not reverse engineer, resell, copy, or redistribute restricted parts of the software without written approval.
  • Do not upload malicious files, unlawful data, or content that violates the rights of another person or business.
  • Do not share admin access with unauthorized third parties.

Customer data and confidentiality

Customer hotel operational data remains the customer's business data. Hotel Connect processes customer data only to provide the service, maintain reliability, perform authorized support, improve security, and comply with applicable obligations.

Both parties should treat non-public business, pricing, operational, technical, and customer information as confidential and use it only for the purpose of delivering or using the service.

Third-party services and integrations

Some CRM features may depend on third-party services such as hosting, database infrastructure, email, SMS, WhatsApp, payment gateways, analytics, maps, storage, or other integration providers.

Hotel Connect is not responsible for failures, pricing changes, downtime, policy changes, or data handling practices of third-party services that are outside our control. Customers may need to accept separate third-party terms for certain integrations.

Support, maintenance, and availability

We aim to provide reliable access and reasonable support for active customers. Support channels, response times, and included services may vary by plan or written agreement.

The service may occasionally be unavailable because of planned maintenance, emergency fixes, network issues, hosting provider outages, security updates, third-party service failures, or customer-side device and internet issues.

Intellectual property

Hotel Connect and its software, interface design, workflows, documentation, branding, product names, and related materials are owned by Hotel Connect or its licensors. Customers receive a limited right to use the service during an active subscription.

Customers must not copy, sell, license, reverse engineer, or create competing products from the CRM software, except where expressly permitted by written agreement or applicable law.

Limitations of liability

Hotel Connect is a software tool designed to support hotel operations, but customers remain responsible for business decisions, guest service, staff management, pricing decisions, tax compliance, accounting review, and final operational outcomes.

To the maximum extent permitted by law, Hotel Connect is not responsible for indirect losses, lost profits, lost bookings, reputational harm, incorrect customer-entered data, unauthorized staff actions, third-party outages, internet failures, or misuse of the software.

Suspension and termination

We may suspend or terminate access if a customer fails to pay, violates these terms, misuses the service, creates security risk, infringes rights, or uses the CRM in a way that may harm Hotel Connect, other customers, or third-party providers.

After termination, access to the CRM may be restricted. Data export, retention, or deletion will be handled according to the applicable plan, written agreement, technical feasibility, and legal requirements.

Changes to terms

We may update these Terms and Conditions as the product, pricing, legal requirements, support process, or business operations change. The latest version will be posted on this page with an updated date.

Continued use of the website or service after an update means the customer accepts the revised terms, unless a separate written agreement states otherwise.
